It’s time for vacation. You’ve earned it, and this year, you’re going somewhere nice. Vacation is over. You dread coming back to work and finding a stack of unanswered emails in your inbox. Pushback against that sense of impending doom by setting your out-of-office replies in Outlook. Follow along and I’ll show you how.

Open your Outlook email program, you must login Hotmail or Outlook before (you can learn how to login here). Left-click on the File tab at the top of the screen. Left-click the Automatic Replies button.

The default is set to “Do not send automatic replies”. Click the “Send automatic replies” option.

To send the replies, only during a specific time range, check the “Only send during this time range” option.

Then, set your start time and date, followed by an end time and date.

Next, compose your message in the “Inside My Organization” tab.

You can change the font, font-size, color, and other options for this message. This message will be sent to anyone who is part of your organization’s domain.

If you would like to send auto-replies to senders outside your organization, click on the Outside My Organization tab.

Click the “Auto-reply to people outside my organization”.

Choose whether to send auto-replies to only your contacts, or to everyone outside your organization who sends you an email by clicking the appropriate option.

Compose your message for the “Outside My Organization” tab.

Now that you’re done setting up auto-replies, let’s take a look at the Rules… option. These rules allow you to specify actions on incoming messages while you are out of the office.

Left-click the Rules… button. Click “Add Rule…”.

From the Edit Rule window, you can set a variety of options that incoming messages must meet before a rule is applied.

  • From: specify a sender’s email address to act upon by clicking the button or typing the address in the field.
  • Sent to…: If the email is sent to someone else as well as you, you can specify their email address here.
  • Sent directly to me: check this option to auto-reply when email is sent directly to you.
  • Copied (Cc) to me: check this option to auto-reply if you are on the Cc: line of a sender’s email.
  • Subject: specify that email must contain a specific subject before you auto-reply.
  • Message body: specify that the email must contain a specific message before you auto-reply.
  • Do not process subsequent rules: tell Outlook to stop applying rules to the message after this one.
  • Advanced: specify additional conditions an email must meet such as size, date received, importance, sensitivity, the presence of an attachment, or exclusion based on matched criteria.

Once you’ve specified the criteria an incoming message must meet to have rules applied, we need to tell Outlook what to do with these filtered messages. You can perform the following actions.

  • Alert with: which shows a text message or plays a sound that appears on your computer screen.
  • Delete: to send the incoming email straight to the trash.
  • Move to: filters the incoming message to a specific folder.
  • Copy to: copies the incoming message to a specific folder but also leaves it in your general inbox.
  • Forward: forward the incoming message to another person or people. You can leave forwarded messages as they are, or include them as an attachment in another email.
  • Reply with: you can set up a custom email template to reply with that differs from the message that we set up earlier or
  • Custom: if you have installed third-party add-ins with custom actions, you can select them here.

Once you’ve created the applied actions for your incoming message, click “OK” to go back to the rule management window.

You can rearrange the rules in the order you want them to run, with the top-most rule running first.

When you’re done organizing your rules, click “OK” to go back to the automatic replies main window.

Once you’re satisfied with your setup, click “OK”.

You just walk out of the building with your head hung low. Well, we’re going to try and prevent that today. We’re going to do something in regards to Outlook 2016.

Do you ever find yourself sending the same email as Hotmail, Outlook or Gmail to clients and co-workers over and over again? Today I’m going to show you how to reduce tedium and repetitive stress injuries by setting up an email template in Outlook 2016. This tutorial should cover Outlook as well. With this template you’ll be able to make adjustments if needed, then fire it off into the ether and walk out of that building with your head high. Your phalanges will thank you later.

How to Set Up Email Templates in Outlook 2016

To get started you need to create an email that will serve as your template. It can be anything – you can type it in a Word document you can type it in Notepad – however you’d like to do it.

In Outlook under the “Home” tab, click “New Email” or press Ctrl + N on the keyboard to create a blank email. I’ve created my form email in Word for the purposes of this tutorial and will paste the text into the body of the email.

For a pro tip, press Ctrl + A to select all the text in the document, press Ctrl + C to copy the text, and then press Ctrl + V to paste the text into the body of the email. Or you can type something you want in you main email.

Next, add a subject to your email template. Make it genuine to ensure your email doesn’t go straight into the junk mail of the person who receives it.

How to Set Up Email Templates in Outlook 2016

Click on the “File” tab, choose “Save As” and select “Outlook Template” under the “Save as type:” dropdown menu.

I recommend not changing the folder location here as this is where Outlook will look for your email templates.

Click “Save”, and now your template is available to be used any time you need it. You can discard the email you created, as it has been saved as a template.

Awesome! No more worries about carpal tunnel surgery.

Now how do you access the email template you just created?

Under the “Home” tab, click “New Items”, then “More Items”, then “Choose Form”.

Under the “Choose Form” window, select “User Templates in File System”.

Up comes a list of your saved email templates Choose the one you need from the list and click “Open”.

The template opens as a new email. Make any changes you need, and fire it off to your eager subscribers.

Note that making changes to the email here does NOT make changes to the template itself.

In order to update the template, make any changes to the email you’re currently working on, and use the steps we just took to once again save it as a template with the same name. And that’s it for today.

Before your know it, you’ll be a master of your desktop software and be cruising for that promotion to Executive VP, a company car, and a key to the executive washroom.

In our next tutorial, I’m going to show you how to add items to the Ribbon in Outlook. And it works for other Microsoft Office programs as well. And adding these items to the Ribbon will allow you to get to your email templates with the click of a button instead of having to go through all those steps.

I would like to share with you just three tricks to use in Microsoft Outlook that have completely changed my email experience and general workflow. We all know how overwhelming an inbox can be, and many of us feel the immediate impulse to answer those emails rather than letting them linger.

I like to call this the “culture of immediacy”, the idea that because something can be immediate, it should be. These tips I’m about to show you are designed to help you break free of that culture, give yourself permission to focus deeply on your work, and invite you to consider a fresh outlook on your Outlook experience.

#1: Turn your desktop alerts off!

My recommendation is to consider turning your desktop alerts off entirely when you intend to work on major projects.

First, you will want to access your Outlook. Make sure it’s open, then click File, find Options, and ensure that you are in the Mail settings (the Mail menu).

When you scroll down, you will find a section called Message arrival.

Be default, when you receive new mail your Outlook will play a sound, change your mouse pointer, show an icon, and display a Desktop Alert.

So let me demonstrate what happens. I will send a Hotmail email message to myself to show you what happens. I hear a sound, there’s this new notification over here, and if I was working on something else, my attention has now been diverted or I might click this email to answer it rather than continue my work.

So again, this is about avoiding work disruptions. So let me return to where I was at in my Options menus to see how I could remedy this.

In order to turn these alerts off, all you have to do is uncheck the boxes you don’t want anymore. When you turn these alerts off, you are able to

A) work for long durations on a given task without interruptions, and then you’re able to turn them back on if you need to at a later time, or

B) you can feel empowered to just turn them off entirely and keep them off limiting your email checking to only certain times that you designate during your workday.

#2: Choose a different start and exit location!

The second tip I would like to share involves accessing the Advanced menu. So just as there was a Mail menu, we have an Advanced menu on the side.

Find the section labeled Outlook start and exit. That’s near the top. By default, your Outlook is designed to show you your inbox as soon as its opened.

So again, that culture of immediacy assuming that the first thing you’ll want to do is respond to other people. My recommendation would be to consider choosing another place.

For example, my Outlook is set up to open to my Calendar which means that before I am answering any emails or responding to questions or addressing other people’s tasks. I have had the opportunity to look at my schedule for the day as well as tasks I’ve been given for the day.

It’s become a much calmer, focused way to begin my day’s work. So let me show you how to do that.

What you’re going to do is click Browse. The same way you might attach a file to an email, and choose the place that you want your Outlook to open to. Be sure to click OK to save any of these settings that you change in these menus on the side.

#3: Utilize Atomic Learning

My final tip would be to explore all of the bells and whistles of Outlook such as Tasks, Notes, and the Scheduling Assistant through the web-based training videos available at Atomic Learning for the Butler community. So let me show you how to access that.

Today I’m going to show you what to do when you need to reset your Hotmail password. But you don’t have access to your security contact information such as your cell phone or an alternative email address.

Go to account up hotmail.com and sign in using your phone number, Skype ID or email. If you’re using an email to sign in it could be an email like Outlook.com, hotmail.com, Gmail.com or yahoo.com.

If you’ve forgotten your password, you can click I forgot my password link at the bottom of the screen.

Click I forgot my password and click Next.

You’ll be prompted for the CAPTCHA to make sure that we can verify you are not a bot and you are a human.

If you do not have an alternative email, phone number or the Authenticator app, that Microsoft can send a code to or if you cannot use any of the password reset options. Select I do not have any of these on we need to verify your identity screen.

Follow the steps to access the online account recovery form. You can select I do not have any of these, click Next.

The email that you’re being asked for here is not the email that you’re trying to recover, click Next.

To make sure that we have the correct email, we will need to send a code to the address and ask you to enter it, click verify.

Next, you will go through the form with a series of questions, some of the tips for filling out the form.

Then Answer as many questions as you can and provide as much information as possible.

Use the information provided when you first created your account or when you last updated it. Submit the form from a computer that you frequently use.

And keep in mind that your email address may be country specific.

For example, if you created your account in England, your domain would be hotmail.co.uk instead of Hotmail.com.

After you reset your password go to account.microsoft.com and sign in. Then Click security and click update security information.

And there are a number of ways to secure your account. And Microsoft highly recommends you to have more than one.

And before I do, I just want to let you know it’s one of the most complicated processes of deleting an account that I have seen. I don’t know why Microsoft makes things so incredibly complicated but they do. So just bear with me and be sure to follow the instructions closely.

Okay, basically what you want to do sign in Hotmail account and go to Account Settings then you go to Close Account.

And you can read this stuff it’s fine, put in your password and I think this will be the last step to close. Then you go to this page and you want to hit OK no you don’t!

You don’t want to hit that right way you want to hit this link, this hyperlink, deactivate your Outlook.com or Hotmail account.

It’s going to take you here:

Delete Hotmail 3And you just select a reason why you want to delete your email messages.

Which it was, click deactivate account, and your account has been deactivated.

That’s great! Now we got to go back to the Account page, you can log in again.

Go back to Close Account, put your password back in again, and hit OK. Now your account is still not deleted. You can believe it or not you have to leave it inactive for a period of I believe ninety (90) days.

That’s basically it, that’s how you deactivate your account. If your account has been hacked and that’s the reason why you’re doing this let me know.

Hi friends and welcome again. This is a short tutorial on how to hide your Email Address from the Sign-in screen. If you are seriously concerned with your privacy and do not want to show your Hotmail, Outlook mail address openly on the Sign-in screen, then you can apply a few simple steps to hide your Hotmail email address.

By default, Windows display your email address on the sign-in screen, if you are using Microsoft Account login into windows instead of a Local Account.

Click the Start button and then click Settings. Click Accounts icon and then from the left side pane click “Sign-In options”.

Scroll down a bit and under Privacy option turn off the option “Show account details (e.g. email address) on sign-in screen”.

Now, the next time at Sign-in screen Windows will no longer display your Hotmail or Outlook email address.

If you have signed into Windows using Microsoft account, then Windows has already set up your Microsoft Account into Mail App.

But if you want to add more email accounts from other email services, then follow these steps.

Within from the Mail app, click the Settings button from the bottom left corner, and from Settings pane, click Accounts, and then click Add Account.

You will be presented with the most popular email services provider, or if your email service provider is not in the list, then you can click on Other Account, to manually configure POP or IMAP accounts.

For instance, if you click on Outlook.com then you will be asked to enter the Login Credentials for your Outlook.com, Live.com, Hotmail, MSN account.

After filling the Hotmail login details, click the Allow button, so Mail App may access your account. If everything goes fine, then click the Done button, and your Hotmail account is now available in Windows Mail app.

To switch between mail accounts, click the Accounts button from the left side pane, and choose an appropriate account that you wish to use, and within a blink of eye, you will be in another account.

Remove Hotmail account from Mail App

To remove an account from Mail App, follow these steps.

From the bottom left corner, click Switch To Settings button, and from the Settings pane, click Accounts. Select the account from the list, that you want to remove, and from the Accounts settings window, click Delete Account. To confirm the changes, click the Delete button.
